Meeting Minutes
May 5, 2008
I.      Call to order
Jim Wooster called to order the regular meeting of the Belmont Youth Hockey Association (BYHA) at 7:02pm on May 5, 2008 in the Flett Room of the Belmont Public Library.
II.      Roll call
The following persons were present: Jim Wooster, Curtis Cole, Janet Liddell, John Curran, Steve Nally, Doug McLaughlin, Andy Papathanasiou, John Myers,
Brian Quirk, and Mark Shapiro.  Absent from the meeting were: Larry Christofori, Lisa Pargoli and Kerry O’Donovan. Special Guests: Tom Troiano and Denis O’Donnell.
III.      Approval of minutes from last meeting
The minutes from April 1, 2008 were approved.
IV.      Special Guests Report:
Jim W. introduced Tom Troiano, President and Denis O’Donnell, of Winchester Youth Hockey (WYH).  Tom T. and Denis O. thanked Belmont and Dan Kelleher for hosting the Mite A Tournament, consistently listed by Winchester kids as a favorite hockey event. Tom T. and Denis O. shared their experiences in managing WYH and actions taken several years ago to strengthen membership, skill level and overall satisfaction with the program.
V.      Position Reports
Treasurer
John C. reports expenses for annual ice usage coming in now. Approximately $29,000 owed to Belmont and $18,000 to Watertown’s Ryan Rink. Yearly ice costs rising. Jim W. and John C. will meet and evaluate annual costs of season to set rates per skater for next season.
Registrar
Registrations for the 2008/2009 season may be a little higher than last year. Jim Brown trying to organize a U16 Midget team.
Ice/Skills
Doug M. working with various rinks and Belmont Rec. Department to fine tune ice requirements for next season.
Tournaments/Clothing
Brian Q. reports Waltham equipment storage costs competitive with other options he’s researched. Looking at goalie equipment from Play It Again Sports. BYH did qualify for donation of youth sports equipment from Sports Etc. in Arlington. Brian Q. will work with John C. to budget equipment fixed costs for next season.  
Public Relations
Town Day – May 17, 2008. Needed: application form for booth, tables, canopy, fliers for distribution, hockey net, give-aways and volunteers.
VI.      New business
 
1.            Post recommended summer hockey camps on website
2.            Scholarships: Given out in spring to seniors in program for at least 5 years, $500 each
3.            Nominating process for open board positions in progress
VII.      Next Meeting: 
*Special meeting of the Board May 19, 2008 at 7:00pm in the Flett Room at the Belmont Public Library to discuss John Myers proposal regarding retention of select players as alternates in the town program, followed by meeting of the nominating committee.
**Regular meeting of the Board June 2, 2008 at 7:00pm in the Flett Room at the Belmont Public Library.
VIII.      Adjournment
Jim Wooster adjourned the meeting at 9:02pm.
